Quote follow-up templates for cleaners
Most cleaning quotes are not lost on price. They go quiet because the customer is busy, comparing two or three cleaners, or waiting on a moving date. These ready-to-send texts and emails help you follow up politely, at the right time, without feeling pushy.
When to follow up
Timing matters more than the exact words. A simple rhythm that works for most cleaning quotes:
- Same dayA short message to check the quote arrived and offer to answer questions.
- Two days laterA friendly check-in, with a slot you could offer them.
- Four to five days laterA final, helpful nudge, then close the quote politely.
- End of tenancy: work back from the move-out dateTenants and agents are on a deadline. Follow up sooner, and always mention the date.
Use whichever channel the customer used with you. Homeowners and tenants usually prefer a text; letting agents, landlords and offices usually prefer email.
One-off and deep clean quotes: texts
Hi [name], it’s [your name] from [business]. I’ve just sent over the quote for the [deep clean / spring clean]. Any questions, just reply here. Thanks for getting in touch!
Hi [name], just checking the quote for the [deep clean] came through OK? I have a slot on [day] if that would suit. Happy to tweak anything.
Hi [name], I haven’t heard back, which is completely fine. I’ll close the quote for now, but if you’d like to book in later, just drop me a message. Thanks again.
End-of-tenancy quotes
End-of-tenancy work runs to a fixed date: the day the keys go back. Mention the date in every message, and make it easy to say yes.
Hi [name], just checking you got the end-of-tenancy quote for [address]? Your move-out is [date], and I can still fit you in on [day]. Would you like me to hold that slot?
Subject: End-of-tenancy clean, [property address]
Hi [name],
Thanks for asking us to quote for the end-of-tenancy clean at [address]. I attached the quote on [date]. We can collect keys from your office on [day] and have the property ready for the check-out on [date].
If you have other properties coming up this month, I’m happy to price them together.
Kind regards,
[your name]
[business], [phone]
Subject: Clean before your new tenants move in
Hi [name],
I wanted to check the quote for [address] reached you. I can do the clean on [day], which leaves time before your new tenants arrive on [date]. Just reply to confirm and I’ll book it in.
Thanks,
[your name]
Turning a one-off clean into regular work
The best time to offer a regular clean is just after a one-off job the customer was happy with.
Hi [name], I hope you’re enjoying the clean house! If it would help, I have a [weekly / fortnightly] slot free on [day]. It’s [price] a visit, and you can stop at any time. Would you like me to pencil you in?
Hi [name], thanks for using us at [address]. If it would help, we’re happy to be your go-to for end-of-tenancy and between-tenant cleans. Just send the address and move-out date and we’ll confirm a price the same day.
Quick checklist before you send
- The customer’s name and the right address or property
- The type of clean and what is included (oven, windows, carpets, inside cupboards)
- The date you can do it, or the move-out date it needs to fit
- How long the price is valid for
- Any key collection or access arrangements
- A simple next step: "reply to book" or "call me on…"
What not to do
- Do not chase every day. Two or three well-spaced messages are plenty.
- Do not drop your price unprompted. Offer a different scope instead, such as leaving out the oven or windows.
- Do not forget. A follow-up you never send is the one that costs you the job.
